Managing Timesheets

Air Maestro’s Timesheet screen stores a record of completed flights (for pilots and crew) and duties. For pilots and crew, the system automatically updates the log book after an entry in the Timesheet screen, reducing the need for double entry. The layout of the Timesheet screen is customizable for each organization and department, therefore the fields that you view in the screen captures may vary to the fields on your screen.

  1. Select Operations > People > Personnel. The Personnel screen is displayed.

  2. Filter the Personnel screen according to your requirements.
    * Enter filter criteria in the text box and click [Filter].
    * Select a value from the Base drop-down list to view personnel located at a particular base location.
    * Select a value from the Department drop-down list to view personnel located within a particular department.
    * Select the List Non-Active Personnel tick box to include personnel that have been de-activated on the system. This includes personnel which have ceased employment with your organisation.

  3. Click [Timesheets] to view the timesheet for the selected user. If you do not have the required access level to view personnel timesheets, a warning is displayed.

    The Timesheets screen is displayed. The row containing today's date is highlighted in grey. Dates where data has not been entered are highlighted in blue.

    The Work Practice column contains an icon to indicate the compliance status with the work practice controls. Click the icon to view more information about the user’s status against each work practice control. Icon Description

     


    The Summary column tracks the totals against the work practice controls. To turn off the summary, select Tools > Options > Hide Summary.

  4. Click Edit [] for the required date. The Edit Timesheet pane for the selected date is displayed.

     

  5. Select the shift the user performed on the selected date from the Shift drop-down list.
    Click in the Shift drop-down list and enter the first character of the required shift. The first shift in the list starting with the selected character is highlighted.

  6. Enter the duty start and end time in the Duty field in 24 hour format. If this was a split shift, enter the subsequent shifts in the remaining text boxes. Alternatively, is this was a standby shift, enter the standby hours in the Standby pane.

  7. Select the work practice performed on the selected date from the Work Practice drop-down list.

  8. Click [Add Flight]. Alternatively, if no flying occurred on this date proceed to Step 16.

  9. Select the aircraft from the AC Rego drop-down list.
    This list is automatically populated with all the company aircraft which match the user’s endorsements.

  10. Select the name of the pilot in command during the flight from the Pilot in Command drop-down list.

  11. Enter the flight number in the Flight No. field

  12. Enter the route information in the Route text box.

     

  13. Complete all remaining fields.
    The timesheets are customizable per organization. As a result, you may have additional fields which you need to complete.
    If your administrator has created self-updatable recency items that you can complete via your timesheet, they will be displayed on this screen. You will see a Recency pane which contains a tick box, drop-down list or text box, corresponding with the name of the recency item. If a recency item was completed on the selected date, complete the required field to update the user’s recency.

  14. Click [Insert] to save the flight details.
    To add another flight for the selected date, Click [Add Flight].
