Changes to Flight Record Access Levels in Air Maestro 3.3 Release

In the Air Maestro 3.3 release we have introduced 2 new access levels to the Flight Records module in order to provide further control over who can access and amend these records. These access levels are view and edit self. Each access level is outlined below:

Flight Records > View All

  • Allows users to view all flights along with their custom field, leg and crew data in the Flight Records module
  • Allows users to assign themselves to all existing flights via their timesheets (NEW)

Flight Records > Add All

  • Allows users to add flights via the Flight Records module
  • Note that they will not be able to view or edit the custom fields or leg data without view/edit self-access level or higher

Flight Records > Edit All

  • Allows users to view all flights in Flight Records
  • Allows users to edit all flights in Flight Records provided they have not been locked
  • Allows users to assign themselves to all existing flights via their timesheets (NEW)
Flight Records > Add All
  • Allows users to add flights via the Flight Records module
  • Note that they will not be able to view or edit the custom fields or leg data without view/edit self-access level or higher

Flight Records > Delete All

  • Allows users to delete flights in Flight Records
Flight Records > View Self (NEW)
  • Allows users to view custom field and leg data for flights that they have submitted as well as flights to which they are attached as crew
  • This is applicable within the flight records module and their timesheet
Flight Records > Edit Self (NEW)
  • All access outlined in view self
  • As well as the access to modify the custom field and leg data from within their timesheet and flight records module

Access Level

Crew Duty Details > Modify Selection

Allows users to modify the duty information contained in flight records for a selection of crew (limited to base/department).

Crew Duty Details > Modify All

Allows users to modify the duty information contained in flight records for all crew.

Crew Flight Details > Modify Selection

Allows users to modify the flight information contained in flight records for a selection of crew (limited to base/department).

Crew Flight Details > Modify All

Allows users to modify the flight information contained in flight records for all crew.

Setup > Modify All

Allows users to customise the flight records setup including adding, editing and deleting all fields.

Additional Notes

As flight crew need to be able to update their flight hours provided they have the modify self (or higher) access level for the timesheets module they are able to add flight records via their timesheet. They also have the ability to view flight records to which they are attached. Also, in order to limit flights being duplicated they are also able to attach themselves to existing flights entered into the system.

The new access levels have been introduced so that we can restrict the flight crew from being able to view additional details about the flight records that they are attached to including custom fields and leg data. Prior to 3.3 flight crew would be able to view all custom field and leg data for flights that they are attached to. Further to this they would also be able to edit this data for flights that they inserted.

Now in order to view the custom field and leg data for flights that they are attached to or inserted they will require the new view self-flight record access level. In order to make any changes to these fields they will require the new edit self-flight record access level regardless of whether they inserted it or not. Without these access levels the flight crew can only view/edit the basic flight information including aircraft, route, Pilot in Command, task, risk assessment and volume/page number if these fields are enabled.

Additionally, in order for users to attach themselves to existing flights they will now also require view (or edit) all access to the flight records. This is a breaking change, but should it not be added then view/edit self would effectively grant view/edit all as users could attach themselves to any existing flight.  If you require users to be able to attach themselves to existing flights, you will need to update the required access templates or individual users to have view all flight records access. The support team will be able to assist with this if required. Note that this will not be required if the user inserting the flight has edit self-access and attaches the additional crew to the flight themselves.

As part of the upgrade to version 3.3 from 3.2 and below all users and access templates with either modify self or all access to the timesheet module will be granted the new edit self-access level for flight records. This is to provide consistency with how the access with previous releases of Air Maestro functioned. However, the templates can be updated and refreshed across required users to lower this to view access or remove altogether should it be desired. Note that will give users the access to edit a flight record to which they are attached and did not insert which was previously not the case as it only applied to the user who inserted it.

Flight locking can still be used to stop flights from being edited once they are finalised. The exception being that users can still modify crew hours for flight and duty limitation purposes provided the timesheet has not been locked also.

The other change is how this affects the iOS Flight & Duty application. Users will now require modify self-access to the timesheet module in order to be able to utilise the application in addition to timesheets being enabled for their home department. If they do not have the edit self-access for flight records they will be able to update their timesheet only and not be able to view or modify any flight data including their own flight hours. Provided they have the modify-self flight record access the app will function as it previously did and allow them to create flights as well as edit existing flights.
